Velocity Software Solutions (“Velocity”, “we”, “us”, or “our”), accessible from https://www.velsof.com, builds websites, mobile applications, and business software for our own brand and for our clients. This Privacy Policy explains how we collect, use, store, share, and safeguard personal information across our website and the mobile applications we publish under the Velocity brand on Google Play and the Apple App Store.

1. Who We Are & Scope
Velocity Software Solutions is a technology services company that designs and develops websites, mobile applications, and custom business software for clients across industries.
This Privacy Policy applies to:
- Our marketing website at https://www.velsof.com and any subdomains we operate.
- Mobile and web applications published by Velocity Software Solutions on app stores and on our own infrastructure (each, an “App”). Specific Apps and any data they collect beyond what a typical user would expect are listed in Section 9.
- Any communication you have with us by email, contact forms, phone, chat, or social media in connection with our services.
Where an App has its own additional, app-specific notice (for example, an in-app prominent-disclosure screen or a supplemental policy section in Section 9), that supplement applies in addition to this Policy.
2. Our Role: Controller vs. Processor
Velocity plays one of two roles depending on the product:
2.1 Apps we sell directly under the Velocity brand
For our marketing website and for Apps we publish, sell, and operate ourselves under the Velocity Software Solutions brand on Google Play, the Apple App Store, or our own infrastructure (including the Field Force Management app), Velocity is the data controller. This Privacy Policy is the primary notice that governs how personal information is collected and used in those products.
2.2 Apps we build for business clients
Some of the Apps we publish are deployed by our business clients (for example, by an employer to its workforce, or by a brand to its customers). In those deployments:
- The client (e.g., your employer or the brand whose service you are using) is the data controller. They decide why personal data is collected and how it is used. Their own privacy notice governs that processing.
- Velocity acts as a data processor / service provider, processing personal data on the client’s instructions and under a written agreement.

3. Information We Collect
We collect personal information in the following categories. Not every App or feature collects every category — what is actually collected for a given App is described in that App’s store listing (Data Safety / App Privacy) and, where applicable, in Section 9.

4. Location Data & Background Location
Some of our Apps include location features. Location data may be collected as one or more of the following types:
- Approximate location (network-based,
ACCESS_COARSE_LOCATIONon Android / “When In Use” on iOS). - Precise location (GPS-based,
ACCESS_FINE_LOCATIONon Android). - Background location (
ACCESS_BACKGROUND_LOCATIONon Android / “Always” on iOS) — the device’s location while the App is not in the foreground.
We collect location data only for purposes that are reasonably expected for the App you are using, such as: workforce check-in and route logging, on-site service verification, geofence-based alerts, location-aware content, delivery or visit confirmation, fleet or asset tracking authorized by your employer, or improving the App’s functionality. Specific purposes for each App are listed in Section 9 and disclosed in-app.
Background location — prominent disclosure. Where an App collects background location, the App will continue to read the device’s location even when it is not open on the screen. Background location is collected only for the operational purposes described in this Policy and the relevant in-app disclosure. We do not use background location for advertising, profiling unrelated to the App’s purpose, or sale to third parties.
Before background location is enabled for the first time, the App displays an in-app prominent-disclosure screen explaining what is collected, why, and how to turn it off, and asks you to grant the corresponding system permission. You can revoke location permission at any time in your device settings, and you can stop all collection by uninstalling the App.
Where background or precise location is captured during scheduled work hours configured by an employer, collection pauses outside those hours and after you sign out of the App.
Use of non-background location for marketing
Foreground location, approximate location, and aggregated or de-identified location-derived signals from our website and from Apps that we own and operate may be used — where you have given any required consent and where applicable law allows — to deliver more relevant content and to advertise our own products and services to you. Background location is never used for these purposes and remains restricted to the operational purposes disclosed above and in-app.
5. How We Use Information
We use personal information to:
- Provide, operate, and maintain our website and Apps, and the features you request.
- Authenticate users and protect accounts and devices from abuse, fraud, and unauthorized access.
- Communicate with you about service updates, security notices, and support requests.
- Send marketing communications about our services, where permitted by law and where you have not opted out.
- Personalize and advertise our own products and services, including by using your demographic information, foreground location, device or advertising identifiers, and information about how you use our website and Apps. This may include showing you our advertisements on third-party platforms (such as Google Ads or Meta Ads) and measuring how those ads perform.
- Build aggregated and de-identified insights about how our products and websites are used, which we may use internally or share with partners as described in Section 7.
- Measure how our products are used so that we can fix bugs, improve performance, and design better features (analytics).
- Comply with legal obligations, enforce our terms, and defend legal claims.
- Where we act as a processor for a client, perform the specific processing described in our agreement with that client.
6. Legal Bases (GDPR / UK GDPR)
If you are in the European Economic Area, the United Kingdom, or another jurisdiction with similar laws, we rely on the following legal bases:
- Performance of a contract — to deliver the website features, App features, and support you have requested.
- Legitimate interests — for security, fraud prevention, product analytics, direct marketing of our own services, and improving our offerings, where these interests are not overridden by your rights.
- Consent — for non-essential cookies, marketing emails where required, and certain device permissions such as location, camera, and notifications. You can withdraw consent at any time.
- Legal obligation — to comply with tax, accounting, and other legal requirements.
7. How We Share Information
7.1 What we do not do
We do not sell your individual personal information to anyone. We require our service providers and advertising partners to use any personal information we share with them only for the purposes we have authorized, in accordance with their published terms and privacy policies.
7.2 What we may share, and with whom
We may share personal information as follows:
- With our business clients, where Velocity acts as a processor and the client is the controller (for example, sharing field-staff activity with the employer that licensed the App).
- With service providers and processors acting on our behalf — including cloud hosting, email delivery, customer support, analytics, crash reporting, payment processing, mapping and geocoding, and security tooling — under a written contract or the provider’s standard data-processing terms.
- With advertising and marketing partners that help us promote and measure our own products and services. We may use limited identifiers (such as hashed email addresses, device or advertising identifiers, and cookie identifiers) on platforms like Google Ads, Meta Ads, and LinkedIn Ads to retarget you with our advertisements, suppress already-converted users, build similar audiences, and measure ad performance. We instruct these partners to use the data only for our advertising purposes.
- With professional advisors such as accountants, auditors, and lawyers when reasonably needed.
- In a corporate transaction such as a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
- To comply with law, respond to lawful requests from public authorities, enforce our terms, or protect the rights, property, and safety of Velocity, our users, or others.
- With your consent or at your direction.
7.3 Aggregated and de-identified information
We may share aggregated, de-identified, or otherwise non-personally-identifiable information with third parties — including analytics providers, advertising partners, market researchers, and business partners — for analytics, advertising-effectiveness measurement, market research, and product-improvement purposes. Such information is processed so that it cannot reasonably be used to identify you, either on its own or in combination with other information available to the recipient.
8. Analytics & Third-Party Services
We use analytics, advertising, and operational tools provided by reputable third parties to understand how our website and Apps are used, to keep them reliable, and to advertise our own products and services. Tools we may use include, depending on the product:
- Analytics & product insights — Google Analytics, Google Tag Manager, and Google Firebase (analytics, crash reporting, push notifications).
- Advertising and remarketing — Google Ads, Meta (Facebook / Instagram) Ads, and LinkedIn Ads, including their conversion-tracking and remarketing pixels and SDKs.
- Maps & geocoding — Google Maps and similar providers.
- Error monitoring, email delivery, and chat / support tooling.
These providers process limited data on our behalf under their own terms. Where required, we use IP-anonymization and similar privacy controls. Specific tools active on each App are disclosed in that App’s store listing (Data Safety / App Privacy).
9. Per-App Supplements
The following section lists Velocity-published Apps with collection details that go beyond what a typical user would expect. This section is updated as we publish new Apps. For Apps we build and operate for clients under the client’s brand, the client publishes its own privacy notice.
Field Force Management
Android: com.velsof.fieldforcemanagement
Purpose: Workforce-management tool licensed by employers to record attendance, verify on-site visits, log routes during scheduled work hours, and trigger geofence alerts.
Sensitive data collected: Approximate location, precise location, and background location during scheduled work hours.
Other data: Account credentials, employee identifier issued by the employer, device identifiers, OS and app version, crash and diagnostic logs, and photos the user explicitly attaches to a job report.
Background-location prominent disclosure: Shown in-app the first time background location is requested. Location is essential to the App’s core workforce-management features (attendance, route logging, on-site verification, and geofence alerts); if the user does not grant location permission, those features cannot be used. The user can grant or revoke the permission at any time through their device settings.
Data controller: The employer that has licensed the App. Velocity acts as the processor.
Retention: Determined by the licensing employer’s configuration and contract. Data is retained for as long as required for the employer’s workforce-management purposes and applicable law, after which it is deleted or anonymized at the employer’s request or when no longer needed.
Advertising and marketing use: None. Data collected by this App, including all forms of location data, is used only for the workforce-management purposes above. It is not used for advertising, marketing, ad targeting, profiling unrelated to those purposes, or sale to any third party.

10. Cookies & Similar Technologies
On our website we use first-party and limited third-party cookies, local storage, and similar technologies for:
- Essential functions — authentication, security, load balancing, and remembering preferences.
- Analytics — to count visits and understand which content is useful.
- Marketing — limited use, where allowed by your consent and applicable law.
You can control cookies through your browser settings. Disabling essential cookies may break parts of the site.
Comment cookies
If you leave a comment, you may opt in to saving your name, email address, and website in cookies. These last for one year and save you re-typing on future comments.
Login cookies
When you log in, we set cookies to save your login session and screen preferences. Login cookies last for two days, screen-option cookies for one year, and “Remember Me” extends login to two weeks. Logging out removes login cookies.
Article-editing cookies
If you edit or publish an article, a cookie indicating the post ID is saved and expires after one day. It contains no personal data.
11. Comments & Embedded Content
When you leave comments on our website, we collect the data shown in the comments form together with your IP address and browser user agent string for spam detection and security. An anonymized hash of your email may be sent to the Gravatar service (privacy policy) to determine if you are using it; after approval, your Gravatar may be visible alongside your comment.
Pages on this site may include embedded content (videos, images, social posts) from other websites. Embedded content behaves as if you visited the third-party website directly, and those websites may collect data, set cookies, and track your interaction.
12. Data Retention
We retain personal information only for as long as needed for the purposes described in this Policy, including to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. After that, we delete or anonymize it.
Typical retention windows:
- Marketing-website analytics: up to 26 months.
- Account data: while your account is active, plus a reasonable period after closure for legal and backup purposes.
- Mobile-app operational data (including location): for client-deployed Apps, as agreed with the controlling client and applicable law; for Apps we operate directly, for as long as needed for the App’s purpose. After that, data is deleted or anonymized.
- Comments and their metadata: retained while the post is published, to allow follow-up moderation.
- Records we are legally required to keep (e.g., tax records): for the retention period required by law.
13. Security
We implement reasonable technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, and destruction. These include encryption in transit (HTTPS/TLS), access controls, role-based permissions, audit logging, vulnerability scanning, and security training for our team.
No method of transmission or storage is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security. If you believe your account or our service has been compromised, please contact us immediately.
14. International Transfers
Velocity is headquartered in India and uses cloud infrastructure that may be located in India, the European Union, the United States, or other regions. When we transfer personal information across borders, we rely on appropriate safeguards under applicable law, such as standard contractual clauses or equivalent mechanisms.
15. Your Rights & Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your personal information.
- Object to or restrict certain processing.
- Receive your data in a portable format.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with your local data-protection authority.
We may need to verify your identity before acting on a request and may decline a request where allowed by law (for example, if it would conflict with another person’s rights or our legal obligations). If we acted as a processor for a business client, we will refer your request to that client and assist them in responding.
Opting out of marketing and targeted advertising
You can unsubscribe from our marketing emails at any time using the unsubscribe link in each email or by contacting us. You can also opt out of, or limit, targeted advertising using the controls offered by the relevant platform — for example, Google Ads Settings (myadcenter.google.com), Meta ad preferences in your Facebook account settings, your mobile device’s advertising-identifier (Limit Ad Tracking on iOS, Reset/Delete advertising ID on Android), and your browser’s cookie controls. Opting out will not stop you from seeing our content; it will just make any advertising you do see less personalised.

16. Children
Our website and Apps are intended for adults and for business use. We do not knowingly collect personal information from children under 13 (or under 16 in the European Economic Area). If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
17. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date. Material changes — such as new categories of data collected, new sharing recipients, or significant changes affecting your rights — will be highlighted at the top of this page for a reasonable period and, where required by law, communicated to you directly.
